Privacy notice.

How presence.co.uk handles personal data, in line with the UK GDPR and the Data Protection Act 2018.

Presence Group Ltd (“we”, “us”, “Presence Group”) is the data controller for personal data collected through this site, presence.co.uk. This notice explains what we collect, why, and your rights under UK data protection law.

1. Who we are

2. What we collect

presence.co.uk is an informational site about Presence Group. We collect very little personal data:

  • Server logs. Our hosting provider records standard request information (IP address, request path, user agent, timestamp, response status) for security, abuse-prevention, and operational monitoring. Logs are rotated and retained for no more than 90 days.
  • Email correspondence. If you write to us at any presence.co.uk address, we keep the email and your address for as long as necessary to respond, and then for a reasonable period afterwards in case the conversation continues.
  • Cloudflare edge data. The site is delivered via Cloudflare, which may collect connection data (IP, TLS handshake, bot scores) to mitigate attacks. See Cloudflare’s privacy notice for detail.

We do not run analytics or advertising trackers on this site, and we do not set cookies of our own. See our cookies policy for the full picture.

3. Lawful bases

  • Legitimate interests for server logs and security data, so we can run a stable, abuse-resistant website.
  • Legitimate interests for replying to email correspondence you have sent us.
  • Legal obligation where we must retain records for HMRC, Companies House, or law-enforcement requests.

4. Sharing

We do not sell or rent personal data. We share data only with:

  • Our hosting and infrastructure providers (Hetzner Online GmbH for the origin server in Germany; Cloudflare, Inc. for global edge delivery).
  • Email providers if you have written to us.
  • Nominet UK, the .uk registry, where any of the domains we hold under our Nominet IPS tag (PRESENCEGROUP) needs to be transferred, modified or audited. We are required to share registrant data (name, address, contact) with Nominet for any such activity. See Nominet’s privacy and policy framework.
  • HMRC and our accountants for statutory tax and accounting records.
  • Authorities where required by law.

5. International transfers

Some of the providers listed above are based outside the UK or process data in regions outside the UK. Where this happens, transfers are protected by Standard Contractual Clauses, the UK addendum, or an equivalent UK-recognised mechanism.

6. Retention

We keep data only as long as we need it for the purpose it was collected, or for as long as the law requires. Server logs: up to 90 days. Email correspondence: typically 24 months after the last reply.

7. Your rights

Under the UK GDPR you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data rectified;
  • have data erased where there is no good reason for us to keep it;
  • restrict or object to our processing;
  • request your data in a portable format;
  • complain to the Information Commissioner’s Office at ico.org.uk or by phone on 0303 123 1113.

To exercise any of these rights, write to hello@presence.co.uk. We aim to respond within one calendar month.

8. Children

presence.co.uk is not directed at children under 13 and we do not knowingly collect their data.

9. Changes to this notice

We may update this notice as our practices change or as the law requires. The version date below indicates the last revision.
